When booking/purchasing on BookSeats.com: Why information is collected
When purchasing a flight, we require personal information in order to proceed. It is necessary to have the full names of all passengers (as they appear on travel documents), the dates of birth for each passenger and the address of the person making the booking for travel planning and security protocols, and a valid email address of the main booking client. Credit card information (full number, expiry date and security access code) is gathered for all purchases made online or through a telephone booking with one of our Specialists. All this information is considered “personal information”.
All personal information collected during the booking process is protected by our secure network using SSL technology protocols and normal private network security systems. SSL technology also encrypts your credit card information before it is sent to the supplier and/or tour operator.
It is necessary to obtain your email address so we can send all itinerary information, e-tickets and other documents you may require for your purchased products and/or services.
Booking on the phone or in person: How information is collected and stored
Our specialists and online support staff are consummate professionals who take the handling of personal and sensitive information very seriously. Whether a client is dealing with their representative in person, over the phone or by email, our privacy policy remains the same. Information is transferred into its permanent digital home where files are protected and encrypted. Hard copies with personal information are disposed of safely and as quickly as possible.
Phone calls are recorded for quality assurance and training purposes and are kept temporarily on an internal secure server.
When personal information is shared within and outside of BookSeats.com
Specialists and web reservation assistants at BookSeats.com use third party software and databases to process travel and event ticket arrangements and also share information with our Partners (e.g., Fanxchange, Air Canada, American Airlines, Hotels.com, Priceline, etc.), as well as payment processors. Networks used to access these Partners are highly secure and our partners only use client information such as names, dates of birth, secured credit card information, etc. for the purposes of administration with travel plans, event ticket purchases, processing payments, fraud verification, account collection (when applicable) and to enforce security protocols. Procedures when accessing external databases and our internal travel and accounting database are stringent, with security being the main priority.
How sensitive personal information is handled:
BookSeats.com has security measures in place to protect the loss, misuse and alteration of information that is under our control. We use special encryption tools to protect your information, so the information you share in order to purchase services will only be seen by you, by us - here at BookSeats.com - and with our partners in order to complete your travel and/ or event plans. Your information will only be viewed by the online representative who is processing your file and preparing your travel and/or event documents. Furthermore, a BookSeats.com IT support worker may have brief access to your file should an issue arise with your booking. Full credit card numbers are not visible on our end.
Should BookSeats.com need to charge a further amount or re-charge a credit card due to an error, then the customer will be notified before any actions are taken.
How information is collected and used for marketing purposes
A request for continued email communications relating to marketing correspondence with our customers is an opt-in choice and is not mandatory to complete a booking.
When entering a contest on BookSeats.com, we require an email address and basic contact information, so we may notify participants in the event that they have won. We do not use email addresses collected from contest entries to inform users of new products, services and updates unless they specifically opt-in to subscribe and/or enter a contest that clearly states they will be receiving these types of notifications from us. Our email newsletter contains a “web beacon pixel” which can tell us whether emails are being opened and which links are being clicked on. You can opt to receive emails in HTML form (plain text) by selecting that option using your email service provider or simply choose not to activate the “view/download photos” option, in which case the beacon pixel/analytics software will not be activated.
If you choose not to receive future marketing communications from us: you can send an email to support@BookSeats.com or click the unsubscribe link at the bottom of the email communication. In the event that you may win one of our contests, we reserve the right to publish your full name and city of origin on our website.
All contest rules & regulations are posted with every contest conducted.
